Numen Books Service Terms

Effective2026-11-06

These Numen Books Service Terms ("Books Terms") apply to your use of Numen Books ("Books") provided by AICY, Inc. ("AICY", "we", "us") and supplement our Terms of Service (the "Terms"). Capitalised terms not defined here have the meaning given in the Terms. If these Books Terms conflict with the Terms as to Books, these Books Terms control.

1. What Books is

  • Books is a management-accounting ledger for manufacturers. You use Books as your management-accounting book of record, and product costing and P&L by business unit and by item are calculated from the entries recorded in Books.

  • Books includes task-specific AI agents (accounting and close, sales, purchasing, production, HR and payroll, and financial reports) and an onboarding agent. We may improve or change them as described in the Terms.

2. No tax or statutory filing

  • Books does not prepare, file, or submit tax returns or statutory filings, transmit invoices to tax authorities, or calculate, withhold, remit, or file payroll taxes or benefits on your behalf, and we do not warrant any such outcome.

  • You may export your trial balance and other ledger data to give to your accountant or tax system. You remain solely responsible for meeting your tax, payroll, and statutory obligations.

3. AI suggestions and approval

  • Journal entries, account classifications, cost allocations, and reconciliation matches drafted by Books' AI agents are suggestions. Only entries reviewed and approved by a user you have authorised are posted to your ledger.

  • You are responsible for deciding who may approve entries, and for the accuracy of approved entries and of the financial statements and management reports built from them.

  • Section 8 of the Terms (AI outputs; no professional advice) applies to all AI outputs in Books.

4. Onboarding and opening balances

  • Before using Books you set up your company information and opening balance sheet. The onboarding agent reads the files you upload (for example PDF, image, Excel, or CSV) and proposes an amount for each account.

  • The opening balance sheet can be confirmed only when total assets equal total liabilities plus equity. If you choose automatic adjustment, any difference is posted to retained earnings and no other account is changed.

  • You are responsible for reviewing the proposed balances before you confirm them. Data in your previous system remains yours, and you may continue to keep and use it.

5. Costing and management reports

  • Product cost and P&L by business unit and by item are calculated from the data you enter and approve and from the bills of materials, allocation rules, and profit- and cost-center structures you configure.

  • Financial statements and reports generated by Books are not audited. You are responsible for confirming that they meet any accounting framework that applies to you.

6. HR and payroll data

  • Books' HR and payroll features keep a standard payroll register and allocate labor cost. Amounts calculated by Books are for your records; we do not pay wages or withhold, remit, or file payroll taxes or social-insurance contributions.

  • If you enter personal information about your personnel, you act as controller and are responsible for providing any required notices and having a lawful basis for the processing; we process that data only on your instructions as your processor. Do not enter sensitive data or government identifiers that you do not need for these purposes.

7. Financial-account connections

  • Where available, Books lets you connect bank and credit-card accounts through Plaid Inc. ("Plaid") to import transactions on a read-only basis. Books does not initiate payments or move money.

  • By connecting an account, you represent that you are authorised by the account holder (including your organisation) to do so, and you authorise AICY and Plaid to access and transmit information from that account as reasonably necessary to provide the Services. Plaid's handling of your data is governed by the Plaid End User Privacy Policy.

  • You may disconnect an account at any time, after which no new data is retrieved. Connections can be interrupted by your institution or by Plaid, and we do not guarantee uninterrupted connectivity.

8. Data location

Books Customer Content of workspaces sold through our English-language Services is stored in a United States region on Oracle Cloud Infrastructure (OCI). Certain processing, such as AI inference and error diagnostics, is performed by the subprocessors listed in our Privacy Policy.

9. Records and export

  • You may export your journals, ledgers, and trial balance in standard formats (such as CSV) at any time during your subscription. As stated in the Terms, access to your ledger — viewing, manual editing, and export — is never restricted.

  • Books is not a tax or statutory record-retention system. You are responsible for retaining books and records for the periods required by the laws that apply to you. Export and deletion after termination follow Section 13 of the Terms.

10. Effective date

These Books Terms take effect on November 6, 2026.
