Management Rules

Define your company's rules once — allocation bases, fixed/variable cost behavior, anomaly detection rules — versioned, and applied consistently by every agent.

Management Rules is where your company's rules live, in three tabs: Allocation rules, Cost behavior analysis, and Anomaly rules. Instead of burying cost splits and thresholds inside spreadsheets, you define them once here — every agent applies them consistently, and Save version keeps a record of each ruleset.

Allocation rules — divisional P&L

Set how common costs spread across the divisions detected from your GL. Create an allocation group for the year, pick a method per cost pool, and save — once allocation is in place, Numen can produce a P&L per division, and divisional budgets and contribution analysis follow from it.

MethodHow it splits
HeadcountBy each division's headcount ratio (headcount input required).
Revenue shareAutomatically by each division's revenue share (GL-based).
Floor areaBy occupied floor-area ratio — good for rent and utilities.
Usage shareBy actual usage ratio — good for IT and telecom costs.
Equal splitSplit equally — good for small shared costs.
Direct amountEnter monthly amounts per division directly.
Note
Headcount, floor-area, and usage methods need their base figures — enter them with the Headcount / Area / Usage input buttons at the top of the tab. Allocation groups activate once your GL carries division data.

Cost behavior analysis — fixed vs. variable, automatically

Press Run regression and Numen regresses your COGS and SG&A accounts against the last 36 months of operating revenue, estimating each account as fixed or variable — you review the classification, adjust anything that looks off, and save. From there, Budget Planning can build budgets with fixed/variable behavior per account, and contribution-margin analysis uses the same split.

Anomaly rules — what the detector runs

This tab holds the rules the Anomaly Detection agent runs. Two kinds:

  • Built-in rules (15) — run as code: sudden month-over-month swings, unusual amounts, unbalanced debits/credits, new or vanished accounts, suspiciously round large amounts, entries bunched on weekends/month-end or holidays, year-over-year shifts, zero-amount entries, ledger-vs-trial-balance gaps, and more. You can toggle each rule and tune its thresholds (rate, sensitivity, minimum amount) — but built-ins can't be deleted.
  • Your own rules — added freely and interpreted and run by the AI. Define a name, category, comparison basis, change threshold, minimum amount, and severity (critical / warning / info) — edit or delete them any time.

Versioning

Save version snapshots the whole ruleset — allocation bases, cost behavior, anomaly rules — at a point in time. Change a basis later and the old version stays on record, so past analysis keeps meaning what it meant.

Heads up
Changing an allocation basis changes every division's P&L. Save a version before you change it, so you can compare before and after.
